Dinemate ("we", "us", "our") operates dinemate.co.uk and the associated software platform. This policy explains what personal data we collect, why, and your rights under the UK GDPR and Data Protection Act 2018. We are the data controller for personal data you provide to us directly.

1. Data we collect

Account & billing data — name, business name, email, phone, billing address, and payment details (processed by our payment provider; we do not store full card numbers).
Usage data — pages visited, features used, device and browser information, and IP address, collected to operate and improve the service.
Customer data you process — where you use Dinemate to run your business, you control the personal data of your own customers; for that data we act as your processor under our Terms.
Communications — messages you send us via email, support, or sales enquiry forms.

2. Why we use it & lawful basis

To provide and administer the service and your account — performance of a contract.
To take payment and prevent fraud — contract and legitimate interests.
To improve, secure, and support the platform — legitimate interests.
To send service and, with your consent, marketing communications — consent (you may withdraw at any time).
To meet legal, tax, and accounting obligations — legal obligation.

3. Sharing

We share data only with processors who help us run the service (e.g. hosting, email delivery, payment processing, analytics) under contract, and where required by law. We do not sell personal data.

4. International transfers

Where data is processed outside the UK, we rely on adequacy decisions or UK International Data Transfer Agreements / Standard Contractual Clauses.

5. Retention

We keep account and transaction data for as long as your account is active and for up to 7 years afterwards where required for legal and accounting purposes. Other data is deleted or anonymised when no longer needed.

6. Your rights

You have the right to access, rectify, erase, restrict, and port your personal data, and to object to processing. To exercise these rights or to withdraw consent, contact privacy@dinemate.co.uk. You may also complain to the Information Commissioner's Office (ico.org.uk).

We use cookies and similar technologies as described in our Cookie Policy. Non-essential cookies are set only with your consent.
